There's no single best workflow automation tool for small businesses, and anyone who names one without asking about your business is selling something.

What there is: a right answer for a plumber with three vans, a different right answer for a five-person accounting practice, and a third for a clinic. Here's how to work out which one is yours.

The short answer

  • Most small businesses, first automation: whatever's already built into the tools you pay for — Xero, your booking system, your job management app. Free, supported, switched on in an afternoon.

  • Apps that don't talk to each other: Zapier. Easiest to learn, largest set of connections.

  • A process with lots of "it depends": Make. Cheaper at volume, handles branching properly.

  • Sensitive client data or high volume: n8n, self-hosted.

  • Nothing off-the-shelf fits how you work: a small custom-built tool.

Now the reasoning, so you can check it against your own situation.

Judge tools on four things, not features

Will you still be using it in six months? The best automation tool is the boring one that keeps running. A clever setup nobody understands gets switched off the first time it misfires.

What does it cost at your real volume? Per-task pricing looks cheap on a demo and stings at 500 jobs a month. Work out your monthly volume before you compare plans.

Does it connect to the Australian tools you actually use? Xero, MYOB, ServiceM8, simPRO, Cliniko, Halaxy, Stripe. A tool with 6,000 integrations is no use if it misses the one you run your books in.

Who fixes it when it breaks? If the answer is "you, at 9pm", weight simplicity heavily.

The recommendation by business type

Trades — plumbers, sparkies, builders

Start with: your job management app's built-in automation. ServiceM8, Tradify and simPRO all do quote follow-ups, booking confirmations and on-my-way SMS out of the box.

Add: Zapier only if your website form still lands in an inbox instead of your job system.

Why: the leads slipping through the cracks are usually quote follow-ups, not app connections. Fix the follow-up first.

Accounting and bookkeeping practices

Start with: Xero's reminders, plus a proper client onboarding flow — document requests and ID checks going out automatically instead of by hand.

Consider: n8n or a custom tool if you're handling client verification under the AUSTRAC changes, where the audit trail matters as much as the time saved.

Why: your bottleneck is onboarding and chasing documents, and both are highly repeatable.

Clinics and allied health

Start with: reminders and intake forms inside Cliniko or Halaxy. Nothing else you do this year will pay back faster than cutting no-shows.

Add: Zapier to push new patients into your email list or reporting.

Why: patient data means fewer tools should touch it, not more.

Professional services and agencies

Start with: Zapier or Make connecting your proposal tool, CRM and accounting.

Consider: custom, once you're maintaining a spreadsheet beside your "proper" system. That spreadsheet is a spec for the tool you actually need.

Retail and hospitality

Start with: what's inside your POS and booking platform, then Zapier for reporting and loyalty emails.

Honest pros and cons of the main options

Zapier — easiest to learn, most connections, best support docs. Gets expensive with volume, and complex logic is awkward.

Make — better value at volume, real branching and error handling, visual layout. Steeper learning curve; you'll want a couple of evenings or someone to set it up.

Built-in automation — free, supported, no new login. Limited to what that product imagines you need.

n8n (self-hosted) — your data stays yours, no per-task cost. Someone has to run and update it.

Custom-built — fits your process exactly, no per-seat fees, yours to keep. Higher upfront cost, and only worth it once your process is settled.
